The Australian Embassy and Permanent Mission to the United Nations in Vienna has a vacancy.

Contract Type: Fixed Term Contract  (Maximum 9 Months)

Hours: Minimum 25 hours per week

Starting Salary: This position will be paid a pro-rata salary equivalent to a annual gross full-time salary of EUR 42,504 (inclusive of 13th/14th month payments). The actual salary will depend on the number of hours worked.

The Australian Embassy, Vienna is currently seeking applications from persons interested in fixed term employment in the capacity of an Administrative Projects Officer for a maximum period of 9 months to assist an office relocation.  Applicants must have the right to work in Austria.

The successful applicant will be employed on local terms and conditions of employment as a Locally Engaged Staff member. Please be advised that the Embassy does not provide relocation assistance and any costs associated with taking up the position would be the responsibility of the successful candidate.

Security Assessment: 

This is a security-designated position. The selected candidate will be required to hold an existing and current Australian NV1 security clearance (or higher).

About the Department of Foreign Affairs and Trade (DFAT)

The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

About the Position

Under supervision from the Consul, the Security Cleared Administrative Projects Officer will undertake a range of corporate services, particularly in association with the relocation of the Embassy to new premises.

The key responsibilities of the position include, but are not limited to:

  • In close consultation with the Canberra based Project Manager, undertake site reviews with the locally contracted Project Manager and report on progress of the fit out of the new Chancery.
  • Assist with project coordination of locally contracted tradespeople and designers.
  • Assist with change management and preparation in advance of the Chancery relocation.
  • Actively participate in the staged physical relocation of the Chancery.
  • Undertake a range of administrative tasks, including archiving and document destruction, in readiness for the relocation.
  • Assist with the development of new policies and procedures in relation to the new premises.
  • Other administrative tasks as required.


  • Existing and current Australian NV1 security clearance (or higher).
  • Excellent communication and interpersonal skills.
  • Strong problem solving skills, sound judgment and excellent attention to detail.
  • Excellent organisation and planning skills, ability to prioritise workloads and work flexibly within tight deadlines.
  • Ability to be proactive and work independently.
  • Ability to interpret and apply policies and legislation.
  • High level of IT proficiency, excellent knowledge of Microsoft Office.
  • Demonstrated experience in project management.
  • Proficiency in spoken and written English essential, German not required.
