Operating Unit Russia-Eastern Europe-Israel-Turkey (RET).

TK Elevator is currently looking for an experienced Personal Assistant in Vienna, Austria
Temporary placement: 18 months

The Personal Assistant to the Board is responsible for providing administrative support to the board members of Operating Unit RET (Russia-Eastern Countries-Israel-Turkey) in Business Unit Europe Africa

Your responsibilities are the following:

  • Coordinate the agendas of the Operating Unit Board
  • Coordinate travel (domestic and international) for CEO, CFO and for the Operating Unit RET
  • Be the point of contact between the executives, customers and internal/external clients
  • Manage expense reports for the Board members
  • Create and prepare correspondence and presentations
  • Maintain executive schedule(s) and provide update of changes as necessary.
  • Provide timely responses to executive requests and inquiries
  • Process invoices and approvals for payment
  • Organize and coordinate meetings and events: Prepare department, staff and other meetings including agendas, meeting materials, presentations, scheduling the meeting space required, food if needed and coordinating any IT requirements.
  • Supervise the maintenance of office equipment, including copier, fax machine, etc. and overall appearance of the reception area, conference rooms and kitchen, involve respective services when repair or purchasing is required
  • Handle mail and correspondence.
  • Perform special project and other duties as assigned

Your profile:

  • Bachelor’s Degree with combined work experience
  • Proven experience as an executive administrative assistant, senior executive assistant or in other Office management positions
  • 3+ years as an Sr leadership administrative support role;
  • High administrative and office management capabilities
  • Discretion and confidentiality
  • Ability to work independently on special assignments and maintain smooth operation of the office responsibilities of the executives.
  • Demonstrated success with handling multiple projects with task orientated mindset
  • High professional and integrity standards in handling confidential information
  • High level of flexibility
  • Strong with MS Office tools, Excel, Word and PowerPoint
  • Self-motivated with the ability to work efficiently both independently and as a part of a team
  • Strong organizational skills and results orientation with the ability to multi-task
  • Positive attitude with a focus on continually improving performance
  • Up-to-date with advancements in office technology and applications
  • Excellent English language skills (written and spoken)
