Congress Department Registration Officer

We, the European Academy of Neurology, a medical NPO, are looking for full-time (40h)

Congress Department-Registration Officer (m/f/d)

for our Head Office in 1070 Vienna, starting as soon as possible.

The Registration Officer is responsible for the registration database, including the management and support of relevant promotional campaigns. Reporting to the Registration Lead and Congress Department Head, the Registration Officer can consistently grow and sharpen skills in the areas of project management, communication, organisation, and administrative support.

Main duties and responsibilities:

  • Managing registrations, closing sales, and supporting in relevant administrative duties
  • Maintaining and updating the registration database
  • Managing registration queries via email and telephone
  • Preparing monthly invoice reports for the accounting department
  • Drawing regular reports and maintaining registration statistics
  • Managing credit note and invoice history
  • Organizing the registration helpdesk at the congress
  • Keeping organization processes current and updating process manuals
  • Liaising with internal departments and external clients in for promotional campaigns

Preferred qualification & skills

  • Maintain high professional ethical standards
  • Fluent in business-level English (fluent in German of advantage, but not necessary)
  • Basic knowledge of CRM systems (i.e. Salesforce)
  • High proficiency in MS Office (good Excel skills of advantage)
  • High degree of accuracy, discipline, and motivation
  • Excellent communication skills and interest in working with international customers
  • Good analytical and critical thinking skills
  • An innovative mind
  • Ability work well independently, prioritize tasks, and manage multiple projects simultaneously
  • Strong customer-service orientation
  • Ability to work efficiently and calmly under pressure
  • Confidence in taking initiative and operating in a fast-paced, dynamic environment
  • Willingness to travel to the annual congress (one week per year)


  • Experience in professional office environment (international setting preferred)
  • Experience in congress/event industry or relevant environment preferred (not required)

Salary (gross): Based on 40 hours: min EUR: 2000.- (gross, 14x per year) depending on experience and qualifications.
